# Welcome

Welcome to the Ovation documentation. Here you will find information about creating an account, purchasing a subscription, installing Ovation, using Ovation, administering your organization, and more. This website is a living document with changes being made on a regular basis, so be sure to check back for updates.&#x20;

If you have any suggestions for improvement, please let us know at <contact@ovationvr.com>.

# Using the Documentation

Throughout the documentation are hyperlinks (e.g. [FAQs](/ovation/faq)), which connect you to different pages in the documentation that specifically address the linked text.

At the bottom of each page are navigation buttons that move you forwards and backwards through the documentation. If instead you are looking for something in particular, you can either click on it in the category pane on the left or search for it in the search box.

\*Note: This documentation website works best with Chrome-based browsers.

# Ovation Account

Ovation requires new users to [sign up](https://app.prod.ovationvr.com/signup) for an account. The username and password selected during signup are required each time a user launches Ovation or [signs in](https://app.prod.ovationvr.com/signin) to the Ovation web portal. Users must accept our [EULA](/ovation/legal) and [Privacy Policy](/ovation/legal) to complete the signup process.

Once an account is successfully created, it must then be [activated.](/ovation/creating-an-account/account-activation)

# Activation

An account must be activated before it can access the major features in the software or on the [Ovation web portal](https://app.prod.ovationvr.com/signin). The activation process consists of selecting an [Activation Type](/ovation/creating-an-account/account-activation/activation-types) and [initiating a trial](/ovation/creating-an-account/account-activation/billing), [purchasing a subscription](/ovation/creating-an-account/account-activation/billing), or joining an existing Organization.

# Activation Types

An account can select from three Activation Types: **Individual**, **Organization Member**, or **Organization Admin**. These types specify how a subscription is paid and what access an account has to various features. Learn more about what Activation Type you should select [here](/ovation/faq/organization-subscription).

### Individual

The Individual Activation Type is for non-organization-affiliated individuals who will use Ovation personally.&#x20;

### Organization Member

The Organization Member Activation Type is for accounts affiliated with an organization (e.g. a student at a university or employee at a corporation). Organization Members need only to be invited to an organization to begin using Ovation; they do not pay for an Ovation subscription themselves and are not required to provide any payment information.

### Organization Admin

An Organization Admin Activation Type is for organizations that intend to pay for its member's use of Ovation (e.g. a university or corporation).

# Trial & Subscription

All accounts must either have an active trial or subscription to access most of the major features in Ovation.

### Trial

All Individual and Organization subscriptions begin with a trial period unless one has previously been used.

Providing billing information, such as a credit card or digital wallet (e.g. Google Pay), is required to activate a trial. The account will automatically convert to a paid subscription at the end of the trial and the payment method on file will be charged.

### Individual

An Individual subscription is selected during the account activation process. The activation process is complete when the trial starts (if one is available) or the subscription fee is charged. The account will be billed the subscription fee each billing date unless the account is deactivated or deleted.

### Organization Member

An Organization Member occupies a seat in the subscription owned by their Organization Admin. An Organization Member account does not require any billing information during the activation process.

### Organization Admin

An Organization Admin subscription is selected during the account activation process. The activation process is complete when the trial starts (if one is available) or the subscription fee is charged.

# Licenses

### Individual Subscribers

Individual subscribers receive 1 license and are not able to purchase more.&#x20;

### Organization Subscribers

Organization subscriptions start with 5 licenses.

Organization licenses are based on a concurrent user licensing model. Each time a member of the Organization launches the Ovation application, they must sign in. While they are signed in, they are reserving a license. When they sign out, that license becomes available again.

For example, a university with 15 licenses could have 15 students using Ovation simultaneously. If a 16th student attempted to launch Ovation and sign in, they may be prevented from doing so until a license becomes available.

Ovation's flexible concurrent user licensing model means that organizations do not need to worry about how many headsets or computers they install Ovation on, how many "learners" they will have, or what their full-time equivalents (FTE) count is.

Organizations can increase or decrease their license count by contacting <support@ovationvr.com>.

# Invite/Remove Members

### Invite Member(s)

An organization member can be invited by an Organization Admin, or by an Organization Member with the appropriate [role](/ovation/creating-an-account/roles), on the Organization/Members page. There are two ways to invite members:

1. Enter the member's email address you wish to add, select their role (if allowed), then select Send Invitation. A new row will be added to the Invited Members table with an Invitation Code that the prospective member will receive in their email inbox and use during account activation.
2. Download the bulk invite CSV template, add the email addresses of the members you would like to invite, and upload the CSV file. For each email, a new row will be added to the Invited Members table with an Invitation Code that the prospective members will receive in their email inbox and use during account activation.

Be sure to have prospective members check their spam folder if they do not see the invitation email in their inbox.

### Create Member(s)

An organization member account can be directly created by an Organization Admin, or by an Organization Member with the appropriate [role](/ovation/creating-an-account/roles), on the Organization/Members page.

To create a member account, you must supply a username and password in addition to an email address. An email with a link that must be clicked within 30 days will be sent to the created account, or the account will be automatically deleted.

Directly creating member accounts, as opposed to inviting them, is helpful for multiple reasons:

1. Organizations can standardize the usernames for all accounts
2. Assignments can be immediately assigned to a newly created account
3. Organizations can use them as temporary accounts, since they will be automatically deleted if you don't click the confirmation link in the email.

### Remove Member(s)

An Organization Member can be removed by an Organization Admin or an Organization Member with the appropriate role on the Organization/Members page. There are three ways to remove members:

1. Right-click and select Remove Member on the row of the member you want to remove in the Active Members table.
2. Download the bulk remove csv template, add the email addresses of the members you would like to remove, then upload the csv file after choosing "Remove."
3. On the Details tab of the Member page, select "Remove Member From Organization."

# Syncing

<figure><img src="/files/3VpbGZd14EAijwsvQJWx" alt=""><figcaption></figcaption></figure>

Syncing ensures that an account’s settings and content, such as recordings, are accessible across any hardware running Ovation.

For instance, if a student visits a school's VR lab and signs into headset #1 to practice a speech, their settings and recordings will be uploaded to the Ovation cloud. Later, if they return and use headset #2 instead, their previously saved settings and content will be synced from the Ovation cloud to the new device.

# Account Deactivation

An account that has not yet been [activated](/ovation/creating-an-account/account-activation), or has been deactivated after having previously been activated, is considered deactivated. In the deactivated state, the account will be unable to access most of Ovation's major features or navigate past the Home/Account/Download/Billing pages of the Ovation website.&#x20;

If a deactivated account is inactive for over a year, it may be permanently deleted.

# Leave Organization

### Organization Member

Organization Members can leave their organization on the [Account/Billing page](https://app.prod.ovationvr.com/account/billing). If an Organization Member leaves their organization, their account is deactivated.

### Organization Admin

An Organization Admin account can only leave the organization they administer by replacing themselves with another account. Please contact Ovation at <support@ovationvr.com> if you need to do this.

# Cancel Subscription

### Individual

An Individual subscriber can cancel their subscription on the [Account/Billing page](https://app.prod.ovationvr.com/account/billing). There are three options for cancellation:

1. Cancel Subscription at Billing Renewal - The subscriber can continue to use Ovation until the next Billing Renewal Date when the subscription will be canceled with no further charges.
2. Cancel Subscription Now - The subscription will be terminated immediately and any remaining time until the Billing Renewal Date will be forfeited.
3. Delete Ovation Account - The account will be deleted in addition to everything in #2 Cancel Subscription Now.

No payment will be charged if the account is in a trial and is canceled before converting to a paid subscription.

### Organization Member

An Organization Member does not own the subscription they use and cannot cancel it; however, they can leave their organization or delete their account.

### Organization Admin

An Organization Admin subscriber can cancel their subscription on the [Organization/Billing page](https://app.prod.ovationvr.com/organization/billing). There are three options for cancellation:

1. Cancel at Renewal - The Admin and Organization Members can continue to use Ovation until the Billing Renewal Date when the subscription will be canceled with no further charges.
2. Cancel Subscription Now - The subscription will be terminated immediately and any remaining time until the Billing Renewal Date will be forfeited. All Organization Members will be removed from the organization and deactivated.
3. Delete Organization and Ovation Account - The account will be deleted in addition to everything in #2 Cancel Subscription Now.

No payment will be charged if the account is in a trial and is canceled before converting to a paid subscription.

# Delete Account

Any account can be deleted on the Billing page.

### Individual

If an account with an Individual subscription is deleted, the subscription is permanently destroyed. No pro-rata reimbursement is provided for unused time. **We highly recommend you** Cancel Subscription at Billing Renewal **instead.**

### Organization Member

If an Organization Member account is deleted, they are removed from the Active Members table on the Organization/Members page.

### Organization Admin

If an account with an Organization Admin subscription is deleted, the subscription is permanently destroyed. All Organization Members are removed from the organization and deactivated. No pro-rata reimbursement is provided for unused time. **We highly recommend you** Cancel Subscription at Billing Renewal **instead.**

# Refunds

Refunds are not available in most cases. Please use the trial period to ensure your satisfaction with Ovation.

# Failed Payment

Each billing date we attempt to charge the account's credit card on file.

### Individual

If we are unable to successfully charge the subscription fee, the account will be deactivated and will not be able to use Ovation. If the billing information is updated and the subscription fee is successfully charged, the account is reactivated.

### Organization Member

An Organization Member does not pay for the subscription it occupies and cannot fail a payment.

### Organization Admin

If we are unable to successfully charge the subscription fee, the Organization Admin subscriber and all Organization Members will be deactivated and will not be able to use Ovation. If an Organization Admin, or Organization Member with the appropriate billing role, updates their billing information and the subscription fee is successfully charged, the Admin account and all Organization Members are reactivated.

# VR / Monitor Modes

Ovation can be used with virtual reality headsets (VR Mode) and computer monitors (Monitor Mode).

![](/files/XjX6k84gIwHYQVgjPl3A)

## Differences At a Glance

<table><thead><tr><th width="160.81817626953125">Topic</th><th>VR Mode</th><th>Monitor Mode</th></tr></thead><tbody><tr><td>Hardware</td><td>Meta <a href="https://www.meta.com/quest/quest-3/">Quest 3</a>, <a href="https://www.meta.com/quest/quest-3s/">Quest 3S</a>, Quest 2, or Quest Pro.</td><td>Windows PC</td></tr><tr><td>Experience</td><td>Fully immersive—you’re inside the virtual room with lifelike eye contact and spatial audio.</td><td>Same environments and avatars as VR Mode, but viewed on your PC screen like a “window” into the room.</td></tr><tr><td>Looking</td><td>Turn your head to change your view.</td><td>Move the mouse to look around.</td></tr><tr><td>Moving</td><td>Walk in the real world within your safe play area.</td><td>Use keyboard keys to walk.</td></tr><tr><td>Training</td><td>Available—based on your words spoken into the microphone, and to a lesser degree, where your headset is pointed and what your hands are doing.</td><td>Limited—only evaluates your spoken words. Webcam is not used.</td></tr></tbody></table>

## VR Mode versus Monitor Mode

### Immersion

* **VR Mode** makes you feel physically present. Avatars can make eye contact and speak with you. You see your virtual hands and interact naturally with microphones, notecards, and other objects. Spatial (directional) audio helps you tell who is speaking.
* **Monitor Mode** shows the same scene as VR Mode. You get the same content and audio, just framed on a monitor instead of surrounding you.

### Interaction

**Looking around**

* **VR Mode**: Turning your head changes your view.
* **Monitor Mode**: Move your mouse to look.

**Moving around**

* **VR Mode**: Walk within your real-world play area to move in VR.
* **Monitor Mode**: Use your keyboard to walk.

**Using objects**

* **VR Mode**: Your hands or controllers are tracked, so you can grab a marker to draw, lift a microphone to your mouth, and gesture while speaking.
* **Monitor Mode**: Most actions are a simple mouse click.

### Training

**Gaze (where you look)**

* **VR Mode**: Available—measured by your headset’s direction.
* **Monitor Mode**: Not available (Monitor Mode doesn’t use your webcam).

**Voice (what you say and how you say it)**

* **Both modes**: Speech is analyzed the same way.
* **Exception**: **Mic Distance** training (keeping a handheld microphone near your mouth) is **VR-only**.

**Hands (your gestures)**

* **VR Mode**: Available—based on hand/controller tracking.
* **Monitor Mode**: Not available (no webcam).

## Launching Ovation

**VR Mode**

1. Install Ovation from the [Meta App Store](https://www.oculus.com/experiences/quest/4510688418969375/).
2. Put on your headset and open **Ovation** from your Meta App Library.
   * Using an MDM (ArborXR, ManageXR, or Meta for Education)? See your MDM’s docs for launch steps.

**Monitor Mode**

1. Sign in to your Ovation account and go to [**Downloads**](https://app.prod.ovationvr.com/downloads) to install.
2. By default, launch from:\
   `C:\Program Files (x86)\Ovation\Ovation.exe`

## Which should I choose?

* **Pick VR Mode** if you want maximum realism and natural interaction. \
Simulating public speaking or speaking in social situations in a safe, virtual space can also benefit those who suffer from fear of public speaking. Explore the research [here](https://pmc.ncbi.nlm.nih.gov/articles/PMC5421394/).
* **Pick Monitor Mode** if you’re on a Windows PC without a headset and want easy access to speaking with AI avatars and feedback on what you say.

# Monitor Mode Input

In Monitor Mode, interaction in Ovation happens through the use of a keyboard and mouse.

![](/files/-Mb8KxLGDduiFTS7_SQm)

## Mouse

### Cursor and Move Modes

What happens on the screen when you move your mouse depends on what mode you are in.

#### Cursor Mode

In cursor mode, your mouse cursor is visible on the screen and can be used to select various user interface elements such as menu buttons and speech tool buttons (e.g., next slide).

#### Move Mode

In move mode, your mouse cursor is hidden, and any mouse movement causes your "head" (the image on the computer monitor) to rotate around as if you are looking around.

## Keyboard

You can walk around the environments using the arrow or WASD keys on your keyboard.

# Imports

Ovation allows you to bring your documents into the virtual world and use them with various virtual tools, such as a tablet, notecard, and teleprompter. Some scenarios also use imports in specific ways, such as the Interview scenario using a Text import as your resume.

Imports are uploaded on the Ovation web portal and then downloaded to Ovation when you sign in to the application.

There are three categories of Imports:

1. Text
2. Slides (and related Slide Notes)
3. Board

### Text

Ovation can import many different text files of different formats, including **pdf**, **doc**, **docx**, and **txt**.

### Slides

Ovation can import Microsoft PowerPoint files (**ppt** and **pptx**) and individual images of format **jpg** or **png**.

**\*Important -** Be aware that slides in PowerPoint files, when imported into Ovation, can sometimes become distorted. This is often the result of embedded animation, video, and custom fonts in the PowerPoint files. If you notice this, we recommend [converting your PowerPoint files to individual images](/ovation/speech-items/convert-powerpoint-to-images-for-import) first and then importing them into Ovation. Videos, animation, and audio embedded in PowerPoint files are not supported in Ovation.

### Board

Ovation can import **jpg** and **png** images for use on whiteboards and chalkboards. This feature allows you to import pre-drawn images to your board to assist you.

### Sync imports to Ovation

When you sign in to the Ovation application, all imports in your account are automatically downloaded. However, if you made changes while already signed in to Ovation, you will need to Sync those changes in the Manage menu.

### Imports Video Tutorial

{% embed url="<https://www.youtube.com/watch?index=9&list=PLIfr-CPk1iVEhrGv3Cb5iRMpJqnkLb_hl&v=z6Szk0Pwj7A>" %}

# Convert PowerPoint to Images for Import

You can import a PowerPoint file (including the slides and related slide notes) into the Ovation software for use with certain virtual tools (e.g. Computer, Projector, Tablet). The import process requires Ovation to first send the PowerPoint file to our servers where each slide within the file is converted to an image and then sent back to the Ovation software.

Our process of converting from slides to images can sometimes cause unexpected changes to the appearance of your slides, particularly if the PowerPoint file has custom fonts, animations, videos, audio, etc.

If you notice these issues when importing a PowerPoint file, we recommend that you do the conversion to images yourself in your own PowerPoint software, if you own it, and then import the converted images instead of the PowerPoint file.

**\*Note: This process of converting a PowerPoint file to images removes the embedded slide notes. You will need to manually add the notes back after importing the converted images.**

### Conversion Instructions

* Launch the PowerPoint application and open the PowerPoint file you want to convert
* Select File -> Save As
* Make sure to note the file path where the converted images will be saved (e.g. Desktop)
* Open the drop-down box and select JPEG File Interchange Format (\*.jpg)

![Select JPEG](/files/-MksNvH7gSEojW9ufIIR)

* Select Save
* A dialogue box will open. Select 'All Slides'

![Select 'All Slides'](/files/-MksOeWFb3ASHdWqfRnD)

You will now see all of your slides in a folder with the same name as your PowerPoint file. Each of the slides will be sequentially named Slide1, Slide2, etc.

# Scenario Modifiers

<figure><img src="/files/7oNK3nDy1f62zLhhBHtp" alt=""><figcaption></figcaption></figure>

A Scenario Modifier is a custom AI prompt that changes or enhances Ovation’s default AI behavior. You can make the AI act stressed, skeptical, enthusiastic, indifferent, or even provide it with a detailed personal backstory.

**Think of it this way:** Ovation sets the stage and provides the actors; your Scenario Modifier is the director’s note, instructing the AI exactly how to perform.

Clear modifiers ensure the AI fully embodies the role, personality, or emotional state needed to reach your learning objectives. This practice—known as **prompt engineering**—involves crafting precise, strategic instructions.

### Pro Tips for Creating Effective Scenario Modifiers <a href="#pro-tips-for-creating-effective-scenario-modifiers" id="pro-tips-for-creating-effective-scenario-modifiers"></a>

* **Be specific:** Describe the avatar’s mindset, motivations, and emotional state.
* **Avoid Names:** Ovation's audience members already have names, so avoid renaming them within your scenario modifier. Future updates will enable name customization.
* **Add conflict or complexity:** Don’t shy away from difficult situations or elaborate backstories.
* **Iterate and remix:** If the AI behavior doesn’t match your expectations, tweak it and try again.

Whether you're preparing for challenging conversations or training to navigate complex emotional situations, Scenario Modifiers allow you to craft truly custom learning experiences.

# Personas

<figure><img src="/files/UqWLlTIPGNjs0QhypPjx" alt=""><figcaption></figcaption></figure>

**Personas** are AI-driven characters you can place into many Ovation scenarios to make practice feel like a real conversation. Each Persona has a name, age, and sex, along with a bio/personality prompt that defines how they behave. In sessions, Personas listen and respond in real time, so learners must adapt on the fly, building composure and interpersonal skills.

Use Personas to shape the “room”: assign one or many to simulate investor panels, mock interviews, clinical conversations, or thesis defenses. As you speak, Ovation interprets your words and cues, and each Persona reacts according to its prompt—some validate, others challenge—but every exchange feels dynamic and human.

# Factors

<figure><img src="/files/6e5h4U4prnIdJVnNSuc1" alt=""><figcaption></figcaption></figure>

Factors are AI-generated feedback provided after each session in the [Report](/ovation/reports). Five are displayed on a radar chart, with each Factor consisting of a label (e.g., Clarity), a rating (0%- 100%), and the AI-generated feedback text.

Ovation includes Factors for each scenario (e.g., empathy, persuasiveness, fluency), or users can [create their own](/ovation/factors/custom-factors).

## Factors Blog Post

# Assignments

<figure><img src="/files/cZxiq5pqHI0eZMFExVBF" alt=""><figcaption><p>Assignments on the Ovation web portal</p></figcaption></figure>

An assignment defines a structured speaking scenario along with specific goals and settings, which selected members then complete in the Ovation application. Each member’s performance is tracked, and a detailed report is generated for the assignment creator to review.

For example, a professor could use Assignments to require students in their class to deliver a 5-minute persuasive speech in a virtual lecture hall. On the [Ovation web portal](https://app.prod.ovationvr.com/organization/assignments), the professor sets up the speech scenario, customizes any rules or feedback criteria, and assigns it to the students. Each student then practices and records their speech in VR on their own time. After each submission, the professor can review the transcript, AI feedback, and analytics, making it easy to evaluate performance and provide targeted coaching.

### Benefits of Assignments

* **Structured, Consistent Practice:** All members follow the same scenario and guidelines, ensuring a uniform practice experience.
* **Customizable Scenarios and Feedback:** Assignments allow you to tailor each practice session to your specific needs. You can choose a relevant scenario and virtual venue, configure the virtual avatar behavior, and define the performance feedback that will be generated.
* **Accountability and Tracking:** By assigning a session to multiple team members or students, you can easily monitor who has completed the task and who hasn’t.
* **Automated AI Feedback:** With each submission, Ovation automatically provides AI-generated feedback and analytics. Instructors save time, as they receive objective insights (such as transcripts, filler word counts, and pacing) without having to observe every session live.
* **Scalable and Convenient:** Assignments are completed individually by members at their convenience. In an educational setting, for example, an entire class can be assigned a presentation exercise as homework, and the instructor can review the results centrally afterwards.

### Assignment Workflow

Using the Assignments feature involves a few key steps, from creation to review:

1. **Create a new assignment:** In the Ovation web portal, an instructor configures the assignment’s details. This includes setting the assignment **name** and **description** (instructions for members), and then defining the session parameters:
   * **Scenario & Venue:** Select a practice scenario from Ovation’s library (for example, a *Speech*, *Debate*, *Interview*, etc.) and choose a virtual venue.
   * **Rules:** Specify the rules and requirements for the assignment. This can include the **required number of submissions** (the number of attempts each member must complete) and whether certain allowances are enabled—for instance, you can decide if members can discard and retry attempts and whether the chosen scenario is locked (preventing changes on the member side).
   * **Scenario Customizations:** Further specify the details of a particular scenario. For example, you could require a *Speech* to include a Q\&A with five questions, or have a *Debate* be on the topic *"Humanity should bring back the dinosaurs,"* with the member arguing in favor of it.
   * [**Personas**](/ovation/personas)**:** Define the name, age, sex, and bio/personality of the AI avatars in the scenario.
   * [**Scenario Modifiers**](/ovation/scenario-modifiers)**:** Provide instructions for how Ovation's AI should customize the scenario.
   * [**Feedback Factors**](/ovation/factors)**:** Choose which five performance factors the AI will generate and include in the feedback report. Ovation provides a wide range of factors (such as *Clarity*, *Persuasiveness*, *Structure*, *Empathy*, etc.). You can also create **custom factors** to focus on specific skills.
2. **Assign to members:** Once the assignment is configured, select the organization member(s) who should complete it. You can assign to one person, a specific group, or all members as needed. *(Note: After an assignment is assigned to members, most of its settings become locked to allow for comparison across submissions.)*
3. **Members practice and submit:** Each assigned member will see the new assignment listed in their Ovation application. They can load the assignment with a few clicks, which launches the specified scenario and venue along with any instructions you provided. The member then completes the practice session. Members receive immediate on-screen feedback from the AI after completing the session, and their submission is automatically uploaded for instructor review.
4. **Review submissions and reports:** As members complete the assignment, you can monitor their progress on the Ovation web portal. The Assignments section will show who has submitted and who is still pending. For each member who has submitted a session, you can open a **submission report** that provides in-depth details of their performance. This report includes the full **transcript** of what they said, the AI-generated **feedback factors** with scores and commentary for each selected factor, highlighted **quotes** from their speech with AI analysis, actionable **tips** for improvement, and various **analytics** (e.g., speaking pace, filler word counts, and other delivery metrics). These reports can be viewed directly on the portal and also downloaded as PDF, CSV, XLSX, and TXT files.

# Reports

Ovation generates a comprehensive report for each recording. The report contains details about the recording, generated AI feedback, and analytics. It is displayed immediately after a recording is saved in the Ovation app and is available for viewing/downloading in the Ovation web portal.

#### Details

<div align="left"><figure><img src="/files/AgVl4xjgPJtZxjvCdQjf" alt="" width="375"><figcaption></figcaption></figure></div>

#### Transcript

The transcript contains all words spoken by users and AI-powered audience members.

<div align="left"><figure><img src="/files/YMTLOBVFtViLFVfhiVqm" alt="" width="375"><figcaption></figcaption></figure></div>

#### Factors

Factors are AI-generated feedback consisting of categories on which the user is evaluated. There are 5 displayed on a radar chart, with each Factor consisting of a label (e.g. Clarity), a rating (0%-100%), and the generated feedback text. The Factors displayed on the chart can be customized. Ovation provides more than 30 options (e.g., empathy, inclusivity, fluency), and users can create their own.

# Artificial Intelligence

Ovation incorporates advanced artificial intelligence into a variety of software features.

## Dialogues

Simulated audience members utilize [OpenAI's ChatGPT](https://openai.com/chatgpt) and [ElevenLabs' Generative Voice AI](https://elevenlabs.io/) to engage in intelligent dialogues.

## Feedback

Ovation provides users with feedback about their performance in the [report](/ovation/reports) generated after each session. This feedback is made possible by providing ChatGPT with the speaker's words and analytics collected during practice sessions.&#x20;

Think of this as your personalized AI speaking coach capable of advising you on everything from how well you supported the conclusions in your speech, to tips for overcoming bad habits, such as overusing filler words, to suggestions for improving your responses to interview questions.

## Speech-to-Text

Ovation utilizes [Speechmatics](https://www.speechmatics.com/)['](https://www.speechmatics.com/) AI-powered transcription API to convert user microphone audio into text. Transcription makes many of Ovation's best features possible, including voice analytics, [recording transcripts](/ovation/reports#transcript), [AI dialogues](#dialogues), and AI feedback.

# Tokens

Ovation consumes "AI tokens" when generating the words spoken by Ovation's simulated audience members, when generating feedback for reports, and various other activities in the app.

Ovation subscribers receive a fixed number of monthly [tokens](https://help.openai.com/en/articles/4936856-what-are-tokens-and-how-to-count-them). If subscribers exceed their available monthly tokens, they must wait until the following calendar month to use these features again. Unused tokens do not roll over to the following month.

#### Individuals

Individual subscribers begin each month with 2,000,000 tokens.

#### Organizations

Organization subscriptions begin each month with 20,000,000 tokens, plus 4,000,000 tokens for each additional license beyond the initial 5 licenses.

Tokens are pooled at the subscription level and can be used by any active member of the organization.

### *How many tokens will I use?*

An "average" number of tokens used will differ significantly from one person to the next and from one session to the next. It can depend on the length of your speech before the Q\&A, how long your interview responses are, how many questions you are asked, and much more. To get a sense of how many tokens you tend to use, keep an eye on your token usage numbers within the app and on our web portal as you use these features.

### *Can I purchase more tokens?*

#### Individuals

Currently, purchasing additional tokens to use each month is not possible. We plan to allow this in the future.

#### Organizations

Organizations can receive more tokens by purchasing more licenses. Each additional license beyond the initial 5 comes with 4,000,000 monthly tokens.

# Prompts

Prompts are speech topics used in the Impromptu Speech scenario in the Ovation software.

## Types of Prompts

**AI-Generated**\
Users can have AI generate prompts based on a provided category (e.g., sports).

**Included**\
Ovation comes with 200+ included prompts (e.g., Tell us about your last vacation).

**Personal**\
Individual subscribers and Organization members can create custom prompt collections that are only available to them.

**Organization**\
Organization members with the Facilitator, Manager, or Admin role can create prompt collections that are available to all members of the organization.

## Using Prompts in Assignments

When creating an assignment with the "Impromptu" scenario, you can either 1) specify the prompt or 2) let the assigned members choose their prompt within the Ovation application. If you choose to specify the prompt, you must select an Organization prompt.

## Create a Custom Prompt Collection

You will first need to determine whether you want to create a Personal or Organization prompt collection. Personal prompt collections are only available to the user who creates them, whereas Organization prompt collections are available to everyone in the organization.

1. Navigate to the personal or organization prompt collection page.
2. Select 'Create a new collection'.
3. Give your collection a title and select the language.
4. Select 'Create'.
5. Click on the collection row in the table or select 'Edit' under the Action column. You will be taken to a page that looks similar to the image below.

## Add Prompts to a Collection

![Edit Prompt Collection](/files/obTBqomVMj7xM92K7cxD)

&#x20; 1\. Select 'Create a new prompt or sequence'. A new dialogue box will appear.

![Create New dialogue box](/files/MWzTNqNNCUE3LwXYYLs9)

&#x20; 2\. Enter one or more categories. These will help you filter for this prompt in the Ovation software.

&#x20; 3\. Select 'New Prompt'. A row will be added to the Prompts table below.

![Row added to table](/files/FOaij8q8vdVjltP36dee)

&#x20; 4\. Enter the text of the prompt that will appear when displayed in the Ovation software.

&#x20; 5\. Decide if you want to 'Use Answer Time'. When checked, a user will have the amount of time indicated in the Answer Time (seconds) column to answer the prompt before either the Impromptu Speech ends or the next prompt in the sequence is displayed (see Prompt Sequences below). \*Note that users can open the menu and end the Impromptu Speech early or move on to the next prompt before the answer time expires.

&#x20; 6\. Select the save icon.

&#x20; 7\. Select 'Create'.

### Prompt Sequences

You may want to have multiple prompts during an Impromptu Speech. These are called prompt sequences.

You can create a prompt sequence by adding multiple prompts to the table during creation.

When the second prompt is added, you will need to provide a title to describe the prompts within the sequence.

![](/files/zvc8N1si24eUDD1Wd5uw)

### Sync prompts to Ovation

When you sign in to the Ovation application, all changes to prompts made on the web portal are automatically downloaded. However, if you made changes while already signed in to Ovation, you will need to Sync those changes from within the Manage menu.

# Organization Subscription

Questions about what an Organization subscription is and whether you should purchase one instead of an Individual subscription.

### What is an organization subscription?

An Organization subscription provides additional features for customers who purchase Ovation in order to make it available to others.&#x20;

An example is a university that makes Ovation available to its professors and students. Or a corporation that makes it available to its employees. Or a professional public speaking coach who makes it available to her clients.

An Organization subscription provides:

* An unlimited number of member accounts
* A minimum of 5 [licenses](/ovation/creating-an-account/computer-licenses) and the ability to purchase more
* Access to the [Assignments](/ovation/assignments) feature to design practice sessions on the web portal and track completion in the app
* Tools to view member usage
* Significantly more [tokens](/ovation/artificial-intelligence/tokens) per month than are available to Individual subscribers

### What's an example signup process for an organization subscription in Higher Ed?

Fictional University wants all 200 students taking a public speaking course to use Ovation throughout the semester. They own 10 Meta Quest 3 headsets and 5 PCs in their VR lab, and many students have personal PCs.

1. The university purchases its Ovation subscription with 20 licenses to accommodate the possibility of 20 students using Ovation simultaneously.
2. The university creates accounts in bulk for the 200 students in the course.
3. Students launch Ovation on their headsets or PCs and sign in with their newly active accounts to practice and complete assignments.

### Do you provide setup and training?

Organization subscribers receive extensive onboarding support consisting of training for your staff and demos for others within your organization.

### What is meant by "organization members" and "unlimited member accounts"?

Organizations can directly create Ovation accounts linked to an email or send an email invitation to join the subscription. These accounts are activated as "Members" and can use the organization's licenses.

An organization can have an unlimited number of member accounts. Rather than limiting accounts or the devices the app is installed on, Ovation limits the number of [concurrent users](/ovation/creating-an-account/computer-licenses).

### How do I apply the EDU/NPO/GOV discount?

Ovation staff will review public details about your company and, if necessary, ask questions to determine your eligibility for the discount. If eligible, a member of the Ovation staff will apply the discount before sending your invoice.
